Stop re-typing your purchase invoices: let AI read them for you

Published on 12 June 2026Voilo

End of the month, and the pile of supplier invoices keeps growing. Open each document, find the supplier, copy the number, the lines, the amounts, the right VAT rate, then start over. It's repetitive, it's slow, and it's exactly the kind of task where one mistyped figure costs you later. Most business owners dread this moment — and they're right to want rid of it.

Manual data entry costs more than it looks

The time spent is only part of the problem. A purchase invoice keyed in wrong means VAT deducted wrong, a payment that won't match the right document, a line that skews your expense tracking. And these documents don't get thrown away: in Belgium, invoices and accounting books must be kept for seven years. Better they're accurate and legible from the start, because an inspector can ask for them long afterwards.

Let AI read the invoice for you

This is where Voilo changes things. When you receive a supplier invoice as a PDF or a photo, AI-assisted capture reads the document and pulls out the data automatically: the supplier, the number and date, then the line detail — description, quantity, unit price, VAT rate and amount, totals. You stop typing and start checking. From mobile, the document scanner does the same from a simple photo of a paper invoice or a receipt.

The point isn't to take control away from you: you keep the final say and validate before saving. But the mechanical bulk of the work — the part that adds no value — happens without you.

What you actually gain

  • time recovered every week, especially at month-end and around VAT periods;
  • fewer input errors, so more reliable VAT and expense figures;
  • data that's already clean for accounting export and for matching against your payments;
  • a tidy archive, usable for the entire legal retention period.

What about invoices that are already structured?

For invoices arriving over the structured network, there's nothing to read at all: the data is already there, ready to use, as our Peppol guide explains. AI takes over for everything else — the PDFs from a supplier who hasn't switched yet, the receipts, the paper invoices. Between the two, you no longer have manual entry to do.

Want to see where these features sit by plan? It's all laid out on the pricing page. For the retention and deduction rules, the Belgian tax authority remains the official source.
